# AI Teammates

> Dedicated agents with one job each — run on demand, on a schedule, or when tasks change.

<Info>**Business plan and above.** Part of the AI Assistant module — enable it under **Settings → Modules**.</Info>

An AI Teammate is an agent you set up once to do one recurring job: write the
standup, watch delivery risk, triage new tasks, draft the weekly client update.
You decide what it does, which tools and projects it may touch, when it runs,
and how far it may act without a person.

Find them under **AI Teammates** in the sidebar, or **Settings → AI**.

## Start from a template

<CardGroup cols={2}>
  <Card title="Standup writer" icon="users">
    Weekdays at 09:00 · Read-only. Posts what moved and what's planned, blockers first.
  </Card>

  <Card title="Delivery watchdog" icon="triangle-exclamation">
    Daily at 08:30 · Read-only. Reports projects that are at risk or got worse.
  </Card>

  <Card title="Triage agent" icon="filter">
    When a task is created · Ask before writes. Sets priority and suggests an owner.
  </Card>

  <Card title="Client update drafter" icon="envelope">
    Fridays at 16:00 · Ask before writes. Drafts a client-safe weekly update as a note.
  </Card>
</CardGroup>

Picking a template only pre-fills the form — everything stays editable.

## Setting one up

<Steps>
  <Step title="Open AI Teammates">
    Go to **AI Teammates** in the sidebar (or **Settings → AI → New teammate**)
    and choose a template or **Blank**.
  </Step>

  <Step title="Describe the job">
    **What should it do each run?** is the question it answers every time it
    runs. **Standing instructions** set tone, format and rules it always follows.
  </Step>

  <Step title="Choose when it runs">
    **On demand**, **On a schedule** (daily, weekdays, or one day a week, at a
    time in your timezone), or **When something happens** — a task is created,
    assigned, changes status or priority, or becomes overdue.
  </Step>

  <Step title="Set its autonomy">
    See [Autonomy](#autonomy) below.
  </Step>

  <Step title="Limit its reach">
    Leave **Everything the workspace allows** on, or pick the exact capabilities
    it may use. Optionally limit it to certain **projects**, and choose who else
    gets its reports.
  </Step>
</Steps>

## Autonomy

| Level | What it may do |
| - | - |
| **Read-only** | Analyzes and reports. Write capabilities are never offered to it. |
| **Ask before writes** | Proposes changes; each one waits for a person to approve. |
| **Auto-run safe writes** | On scheduled and event runs, creates or updates **tasks and notes** by itself. Everything else still waits for approval. |

<Note>
  A run you start with **Run now** never applies changes automatically — you
  review the proposal yourself, whatever the autonomy level.
</Note>

## Runs, reports and approvals

Every run is recorded in the teammate's **Run history**: what triggered it, the
steps it took, what it found or changed, and the credits it used.

* **Reports** arrive in your Inbox as *AI Teammate* notifications. Turn them on
  or off under **Settings → Notifications → AI Teammates**.
* **Proposed changes** show **Needs approval** in the run history — open the
  teammate and choose **Approve** or **Reject**. Approvals go to the person the
  run acted as.

## Talking to a teammate

On the **Agent** page, use the picker at the top left to choose a teammate.
Your conversation then follows its instructions, tool list and limits. Writes
still show you a preview before anything changes.

## Who can do what

| | Owners & admins | Members | Client guests |
| - | - | - | - |
| Create, edit, pause, delete | ✓ | | |
| See, run, and chat with teammates | ✓ | ✓ | |

## Safeguards

* **Your permissions, never more.** Scheduled and event runs act as the person
  who set the teammate up; **Run now** acts as whoever pressed it.
* **No loops.** Changes a teammate makes never wake other teammates.
* **Rate limited.** An event-driven teammate runs at most 30 times an hour.
* **Stops when its owner leaves.** If its owner is removed from the workspace,
  the teammate switches itself off.
* **Workspace AI policy still applies** — see [AI Assistant](/ai-assistant#governance).

## Credits

Each run uses AI credits like any other agent question, and the run history
shows what each one cost. Every lookup the agent makes before answering is a
separate step, so a run that investigates costs more than one that answers
directly. If credits run out, the run stops and the teammate's owner is notified.

<Tip>
  Scheduled and event-driven teammates need your workspace's background jobs
  running. On Worksynk Cloud this is handled for you.
